How the debutante photography process works

On the date of your debutante ball, the debutante and their dance partner will be assigned a time slot for photography before the official proceedings begin. During this 10-minute session, the debutante and their dance partner will have individual & dance portrait photos taken. Before the final rehearsal dance, all debutantes and their partners will have a group photo taken.

Individual & Partner Photos

Photo Sessions
Each debutante and their partner will have professional individual and partner portraits taken. The committee will randomly assign session times between 1 PM and 5 PM.

Individual Poses: A minimum of 10 poses per debutante.

Partner Poses: A minimum of 5 poses as a couple.

Group Photos

What to Expect:
Two group photos of the entire debutante party will be captured before the formal proceedings start:

  • Formal Photo: All debunatate participants, flower girl, and Paige Boy will be present for a good group photo. 
  • Silly Photo: A fun and candid moment capturing the joy of the evening.

Family Photos

Family photos are taken after the formal proceedings. That will be after the last dance has concluded, typically in the later part of the evening, from 8.20 pm to 10.30 pm.

Arrangements
If you wish to have family photos taken, before the deb night you can secure a time slot. Please indicate this when you place a pre-order by using the online booking link provided.

Session Details
You can capture as many family photo combinations as you like. Families typically manage 3 to 6 different poses. Generally, when having family photos taken, you’ll want to choose the classic package, as it includes printing the extra family photo images in your album.

Photo Booth
Time constraints during the 1-5 pm photo session usually do not allow for friend or group photos in the professional photo studio setup; instead, an automated photo booth is available for debutante participants to use as they wish. This photo booth will be closed before the group photo and will not be available for guests or anyone else to use after the formal proceedings begin. 

Evening Photo Sessions
The photo studio setup is open to friends or family later in the evening, and you can arrange group photos with friends outside the deb group.

Pre-Ordering Your Debutante Photos
Online ordering for your debutante photos begins when you receive your order form and remains available until the cut-off date. 

You will not be able to view photos online when placing orders, such as school photos, you trust that we are a professional service and will capture all the images you want. 

Why Pre-Order?

  • Choose from three photo sizes, as well as other customisation options such as album colours, USB colour, and gift boxes.
  • Take advantage of flexible split payment options, like online EFTPOS, Afterpay or declare you will pay cash on pickup. 
  • Ensure you secure a USB with all your digital photos.
  • Know what you’re spending ahead of time, on pick-up day. 

Understanding the Cut-Off Date

Submit your online order before the cut-off date to secure your preferred photo size, customisation options, and a USB with digital photos. This ensures your package is fully prepared for Pick-Up Day.

After the Cut-Off Date:

  • Customisations and USB orders are unavailable.
  • Digital copies of photos need to be preordered so the USBs can be prepared before pickup. 
  • Custom album colours and personalisation are not offered after the cut-off date.
  • Discount codes cannot be used after the cut-off date.

Pick-Up Day

Pick-Up Day is your opportunity to collect your pre-ordered package, or, if you have not pre-ordered, to view and purchase photos in person.

Here’s What You Can Expect:

  • Collect Pre-Ordered Packages: Receive your customised package, including your selected prints and album.
  • In-Person Photo Review: You can review and purchase printed photos on the day. Note that online previews are not available.
  • Limited Options for Non-Pre-Orders: If you didn’t pre-order, only standard 4×6 printed photos will be available for viewing and purchase.
  • Default Order: If you did not place an order you will be provided a default order.
  • Location: This is either at our office in Bendigo. Or for regional Victorian Schools, a more convenient pick up day will be arranged at the school

When ordering photos of just yourself, without family pictures, the mini package has been specifically designed for you. It will include your individual portrait photos, dance couple photos, group photos, and walk-down presentation photos.

The grand package is the largest option we offer and is the best choice for those who want to maximise their experience. It includes a long-lasting hardcover album in various colours, as well as a USB drive with digital copies of all your photos.

If you’re planning a family photo session or want larger, more elegant prints, the classic package is ideal. It includes the average number of additional photos you’ll need for family photos, so you can avoid any extra photo fees, and is made of a more robust hardcover album with longevity and colour options in mind. 

Photo Count

What’s the Photo Count?
Each photo package includes a guaranteed minimum number of printed photos that you will receive. When we capture portrait photo poses on the day of your debutante, we carefully design the number of poses to match the typical offerings of each package.

When you select a package, you only need to specify your preferred photo size and album colour. This ensures that you will receive a minimum number of printed photos, along with a USB drive containing digital copies of all the images.

What Does a Typical Photo Count Look Like?

Here’s an example of how the included photo count might look for a package:

  • 5-10 Individual Poses: Shots of the debutante or dance partner by themselves, which make up the majority of images included in a package.
  • 5 Couple Poses: Photos of the dance partners together with a formal backdrop setting.
  • 2-3 Group Photos: A formal & silly photo of the entire debutante group.
  • 3-6 Family/Friend: Cherished moments with loved ones, more individual photos.

When you have a family photo session, we will automatically include these photos in your package and will always prioritise the family photos over individual poses or group photos. If you order more than the average 5 family photos, you may need to pay an extra photo fee to include all your individual, couple and group photos.

What Happens If I Want More Photos Than Are Included in My Package?

Each photo package includes a set number of unique photo poses. We automatically assume you’d like one printed photo for each unique pose, rather than duplicates of the same image. Therefore, each individual, couple, and group photo will be printed once, bringing the total to the included photo count for the package. 

Duplicate prints of a single photo pose:
If you would like duplicate copies of the same photo (e.g., extra prints for family), you can purchase the gift box add-on, which includes printing all your photos twice. Duplicate prints of images will not be added to your photo album; they will instead be provided in a separate gift box. 

An extra photo fee typically applies only when your session includes more family photo poses than your package allows. Because we specifically designed the number of individual and couple photo poses around the package options. Therefore, the only unknown variable is the number of family photos you want to capture.

Suppose your family has multiple family combinations captured (e.g. grandparents, extended family, etc.). You may be charged an extra photo fee if you’re not ordering a classic package or if the number of extra photos exceeds the typical limit of six images. 

How an extra photo fee may be applied:

  • If your photo session exceeds your package’s included count (e.g. more than six family photos in the Classic Keepsake), an extra fee will apply for each additional image.

  • These extra photo charges will be calculated after the order cut-off date.

  • You will receive an email notification before Pick-Up Day if extra charges apply to you, so there are no surprises when you collect your order.

This way, we ensure your order is complete and tailored to the photos most meaningful to you.

FAQ Help about making your debutante photo order

A: Yes, you reach us only via email at create@stageart.media

We can discuss any questions or concerns about ordering your photos. 

A: Yes, single prints are available for purchase. You can pre-order a certain number of prints online or simply come in person on pickup day and purchase them from the default package of 4×6 inch prints.

A: No, Photos can only be viewed in person on Pick-Up Day. Online orders will be processed without previews to ensure timely delivery. We operate on a trust-based system, similar to school photos, where we commit to delivering the best quality images every time.

If you’re hesitant about ordering without a preview, you can choose your package options online and pre-order, indicating you will pay in person once you see the photos. This way, you can be confident you will receive exactly what you want without paying up front. 

After ordering email confirmations, depending on when you complete your online order, you may receive an email that shows a collage of images captured. This is used to confirm that the debutante’s name and the order person match up correctly. 

This collage of images isn’t representative of the actual printed photos or finished quality. 

A: No, USBs are only sold as an inclusion when ordering one of the three photo album packages. These packages are the Mini Treasures Package, Classic Keepsakes Package or the Grand Elegance Package. 

USBs can’t be ordered individually or with custom photo orders.
USBs must be ordered before the cut-off date.  

A: The Debutante Ball Video USB is included as part of your participation and is supplied to every debutante participant on a physical credit card-sized video USB. This is separate from the photography packages and is not part of the ordering system, as it is given automatically. The video USB does not include photography. 

When ordering a photo package, the video USB will be placed within the keepsake box and can be collected with the photo album. 

When no photography order is made, the video USB can still be collected at the photography pickup location or at the school’s alternate location after the pick dates expire. 

A: If you don’t pre-order your photos before the cut off date, you’ll receive a default photo order of printed 4×6″ photos.
Other album colours, USB and photo sizes may not be available on Pick-Up Day.
The $30 discount is only available for online orders placed before the cutoff date.

A: Each package includes a set number of photos. For example, the Mini Treasures Package includes 15 photos, while the Classic Keepsake Package includes 20 photos.

We carefully plan and capture the number of poses to match the typical photo count included in each package. This means:

  • Mini Treasures Package:
    • 5–8 individual portrait photos
    • 5 couple photos
    • 2 group photos

If you’re planning to include family photos, we strongly recommend the Classic Keepsake Package, which has enough room for the extra 5 family portraits typically taken without incurring additional photo fees.

Our packages are designed to ensure that the photos you value most are prioritised and incorporated seamlessly into your order. Family photos are proposed first, while the group photo options are placed last.

A: Yes, you can customise the colours of the Mini Treasures, Grand Elgance, or Classic Keepsake packages by choosing album and USB colours.

A: Pre-ordering your debutante photo package online offers several advantages and helps us prepare your photos effectively as our team handles hundreds of other photo orders. 
If you’re unsure about your order, we recommend placing a pre-order online and declaring your intent to pay in person on Pick-Up Day when you preview the completed photos.
Pre-ordering this gives you the most options and provides the smoothest experience; otherwise, you will receive a default order on pick-up day.

A: $30 discount is automatically applied to online orders placed before the cutoff date. The discount cannot be used for in-person orders or single prints.

The discount is derived from the core debutante fee you pay to participate in the event and is also commonly known as the sitting fee. 

A: Currently, we only offer printing in small, medium, and large sizes. If you would like your photos printed in a different size, you can do so yourself by ordering a package that includes a USB drive for your files and printing them on your own.

  • Mini Treasures Package: 4×6
  • Classic Keepsakes Package: 5×7
  • Grand Elegance Package: 6×8

A: Each package includes one photo size based on the package selection (e.g., 4×6, 5×7, or 6×8). Extra photos are only ordered in the same size as the package. Otherwise, they will not fit inside the photo album. 

It is possible to order a different size gift box of photos. 

A: Typically no. 
You will need to pick up your photos in person at the pick up day assigned to our office in Bendigo or at the school assigned by the deb committee

We may offer home delivery at an additional fee upon request if pickup is not available and you do not want to see the photos beforehand. Select this option during checkout if you cannot attend Pick-Up Day and your deb ball allows for it. 

A: If you’re unable to attend the scheduled Pick-Up Day, don’t worry. After the event, you’ll receive an email with instructions and available times to collect your order in person from our Bendigo office. If needed, we may also discuss alternative delivery options—please note that additional shipping fees may apply. 

A: The USB contains all the portrait photography session photos selected in your package as high-resolution digital files, along with other images not printed, including the presentation photos, walk down photos and dancing photos.  

A: You can pay online using a card, split payment options (Afterpay or Paythen), or cash/card in person on Pick-Up Day. Note: Split payment options must be completed before the Pick-Up Day and may show variable pay periods or not be available at all, depending on how close you are to the cut-off date. 

A: No, you don’t have to pay online. We offer flexible payment options:

  • Split Payments: Pay in instalments before the cutoff date.
  • Cash or Card on Pick-Up Day: Place your order online beforehand, and we’ll have it ready for collection and payment on the day.

Important: Customization options (e.g., USBs and album colors) are only available for orders placed before the cutoff date.

A: The extra photo fee applies when the total number of printed or digital photo poses exceeds what’s included in your selected package.

Here’s how it works:

  • Mini Treasures Package includes 15 photos

  • Classic Keepsake Package includes 20 photos

  • Grand Elegance Package includes 30 photos

If more family photo poses are taken and you wish to include these additional photos beyond your package limit, you may be charged an extra photo fee.

Typical Triggers for Extra Photo Fees:

  • More than 5 family photo poses taken and requested for printing or digital copies

  • Extra duplicate photo prints of the same pose. By default, we assume you want one printed photo of each pose. If you would like to purchase two or more physical copies of any photos, you will be charged an additional fee for those duplicates on pick up day if you did not order the gift box.

How You’ll Know:

  • After the cut-off date, we review the total number of captured images

  • If your family photo count exceeds your package allowance, we’ll email you a summary with any extra charges

  • This allows you to confirm and pay before Pick-Up Day

Let us know if you’d like to upgrade your package to accommodate more images — it may be a better value than paying for extras individually.

A: If you’d like extra printed copies of the same family photo (or any other photo), this is considered a duplicate print and is charged as an extra photo fee on pick up day if you did not order the gift box.

Ordering the gift box is the best way to purchase duplicate prints as it allows us to print them ahead of time, and it’s a much better value compared to paying for additional photos on pick-up day. 

Each photo package includes a specific number of photo poses and prints, and it is assumed you want different photos printed for each count.

If you would like multiple copies of a particular photo (e.g., two or more prints of the same family portrait), you can request them only on Pick-Up Day or indicate that you want the gift box.

These additional copies are not included in your package price and will be charged separately as extra print fees.

A: If you prefer not to purchase a photo album or package, you can order single photos at the following rates:

  • 6×4″ – $12.99 each
  • 5×7″ – $13.99 each
  • 6×8″ – $14.99 each

Note: For single order photos, the package discount does not apply.

A: We prioritise your payment security by partnering with trusted third-party platforms, Stripe and Afterpay, to process all transactions. This ensures that your sensitive payment information is handled with the highest standards of security. Notably, we do not store your payment details on our servers, further safeguarding your financial data.

Stripe is certified as a PCI Level 1 Service Provider, the most stringent level of certification in the payments industry. This certification ensures that Stripe adheres to the highest standards of security and data protection.

A: We are committed to protecting your personal information in accordance with the Australian Privacy Principles outlined in the Privacy Act 1988. We do not share your information with third-party companies. Your information may only be confirmed and synced with the debutante committee for the purpose of confirming orders and identity verification.

A: It is possible, you can order multiple packages in different sizes, such as the Mini Treasures, Classic Keepsake, or Grand Elegance. However, it is not possible to purchase multiple packages of the same type.

Most debutantes and families typically select one package and customize it with add-ons. This approach ensures you receive the best value while keeping the ordering process straightforward. The Classic Keepsake Package remains the most popular choice for its balance of photo count, size, and included features.

Our online ordering system is set up so that only one email will be accepted for one purchase of a package, and prevents you from ordering multiple packages.

A: No, all deb photography packages are unisex, with the only differences being the photo size, number of included photos, and album/USB options.

While the display images may feature either boys or girls, anyone can choose any album or USB color they prefer. Common selections include:

  • Boys often opt for the Mini Treasures Package with a grey album and black USB.
  • Girls frequently choose the Classic Keepsake Package with a grey or beige colour album and a rose gold USB.

Your package is fully customizable, so you can select the options that best suit your preferences!

A: If you don’t pre-order before this date, a default order of 4×6-inch prints will be available for viewing on pick-up day.

USBs can’t be made on pick-up day.

A: Different school balls have different initial pick-up dates. 

Our office is not open to photo order pick-ups outside designated dates.
